-Fake quote, title, business name

Ten reasons why your current file system is an absolute mess

Not using a shared team drive

All files belong to the business, not the employees. If the business could speak for itself, it would certainly demand to have control over its own files. The contents of those files is the business.

Working with local copies

Lack of a crystal clear file structure will lead to people working with local copies. Files will be full of mistakes when you get them, missing when you need them and outdated by the time you get a copy.

Lack of version tracking

Naming a file 'new' works only once, at best. Failing to use proper version tracking leads to doubt and working with expired information.

Poor naming conventions

Folders with generic names will contain everything and nothing specific. Partial file names that aren't descriptive will compound to the emerging disarray.

Duplicate files

Any update to a file will lead to a duplicate becoming outdated. This means that every update will poison your file structure with obsolete files.

Vague file structure rules

Without set rules, no one will know where and how to store a file. With too many rules, you will have the same problem.

Emailing files internally

When emailing a file you have to upload a copy. Downloading creates another copy. Emailing files to a group(!) is a clone factory on steroids. Beware, as clones usually end up having a life of their own.

File hoarding

Saving files 'just in case' is a shortcut to complete chaos. Adding more and more files into a broken structure will not help you find what you need.

Empty folders

Few things are more frustrating than repeatedly  searching through an endless sea of empty folders, and not having the confidence to delete them.

Using the inbox as an archive

Inboxes work great as archives, until they don't. Exporting is near impossible. You can't recover your files. Inboxes are nothing but dead ends.

It is not your fault!

No one else has shown you this stuff, because they don't know what you are about to learn...

I had no choice but to figure this out!

I get it! I'm with you a 100%. I hate working with files too. I can't stand organizing them. Shoot me, if I had to spend a minute more being lost in a chaos of files and folders. I'd rather wish stuff just was always in the right spot so we could do more important things than work with files.

Unfortunately, files won't organize themselves.

I discovered this uncomfortable truth in the previous company I worked with. I had no choice but to figure out a completely new system on how to deal with files during the 7 years I worked there. It was hell. Let me explain.

First off. I think we can agree that...

The complexity increases as you add more and more files of different types into the same system.

Allow me to introduce you to the worst case scenario.

I was working with a company that sold chemicals worldwide. Regulations are different for every country, even in the EU. We had to change recipes for some of the markets. To make it even worse, these regulations apply to marketing also. What is legal to claim in one country (i.e Canada) differs from another (i.e US), so even the English versions would differ on the package, and in the marketing material.

This meant we had to different product labels for the 17 products, and this expanded our product range to well over 250 articles.

On top of all this, we offered the products also as private label, which meant we did unique labels for each client. Some clients were resellers, so they had to have the appropriate marketing materials for their products in that language.

This was only the start of the nightmare in the design department.

Imagine all the sales material that had to be done as we did demo designs for each prospect. Add to that all of the other documentation, inventory, processes, licensing, etc etc and you'll have a grasp of what we were dealing with in regards to files.

On top of it all, I worked remotely with a team in Sweden, Italy, South Africa and Australia.

Soon I was working with 30000+ files in six different languages.

Even though we worked with standards, processes and templates, all this had to be organized. There was NO CHOICE. I had to figure it out. There was no one else.

On way too many occasions I had the sales manager in my DM's shouting "SALES STOP! I spent 10 minutes looking for this file and it cost me another sales call I could of made instead! Where is it?". And he was right.

If you waste time searching for a file, it costs money. Real money.

I had no choice but to solve it. I tried several approaches. I found some ideas from LEAN that worked, but no matter how I did it some files broke the rules.

As the IT-manager I spent months figuring out how to get everything working - which I finally did BUT I quickly learned that it was too complex for the team to understand. They could not care less about the new system. They didn't want to hear, think or learn anything new

What do I mean?!

Look... Files are mind-numbingly boring. Nobody wants to work with files and structure. No one! Certainly not me! That meant that in order for a file structure to work it has to be completely intuitive.

It was impossible to introduce a 'new' system- and I was stuck.

I had to keep it simple or else it would not work.

If it was the least complicated, we would soon have a mess on our hands again. I had to go back to the think tank for another six months trying to solve this conundrum.

The primary focus became: How to I create something that everyone just uses intuitively? It has to be exactly what people are used to but it simply works.

I knew I had the basics there, but something was off... I chipped away all of the complexity one by one, until I only had the essentials left. Now it was simple enough. But, there still was the problem with the anomalies. The files that really did not fit in. The files that broke the rules somehow.

Then it dawned on me. I figured out the final rule that solved the problem with anomalies.

It took me four different versions and five years of development to have something that is simple and that works every time.

We had the final version installed by 2021. We have been using this system and it has been working for us ever since. You could wake me up in the middle of the night and I would be able to pinpoint the location of any of the 30000+ files we had in the system.

The solution is tested. It works.

The rules are just common sense. The magic is in the setting up the folders, which that is a one time installation plus a little tuning. As a user, you instantly know what to do. You know exactly where to store and find a file. It just works.

How much a Broken and messy file structure is costing your business

Time searching x files/day x team size x hourly wage = Looots of money
Example: 30 min/day @ $25/h in a team of 10 = $125/day... ~$2500/month... ~$30000/year...

$$$

Time needed to refocus between searching and being productive (est. 10-15 min/distraction)

$$$

Internal mistakes requiring fixing

$$$

Loss of critical data because people stored files in their inbox

$$$
Quality issues reaching the customer
$$$
Projects getting delayed
$$$
Administrative expenses keep growing
$$$

Can't adapt to changed circumstances

$$$

Struggle with business growth as it would mean more of the same problems

$$$

Any business that don't have their files in order is bleeding recources in plain sight or as a hidden cost. Add to this the implicit loss of not being able to redirect those wasted resources to growth, and you are quickly throwing away considerable amounts of money.

Actual 100% real example

We needed evidence to prove the validity of a licensing contract. It turns out that the terminated employee had stored the mutually signed contract in his email account and now this critical piece of evidence was nowhere to be found. This mistake may cost the company hundreds of thousands of dollars. Case is pending.

Frequently asked questions

-"Will this really work for our business?"
-"Yes. 100% guaranteed."

-"But you don't even..."
-"Doesn't matter. If you have customers, it will solve your file problems every time."

-"In 60 minutes!?"
-"Yes, with plenty of time to spare. You will get the entire structure pre-built. It will take you less than 10 minutes to order, receive and install. The rest is just us showing you how it works."

-"What about my team?"
-"Just install it. All the productive staff members will be up and lovin' it in 30 minutes, as the file system finally makes total sense. The 'creatures of habit' that skip instructions will take a day or so to convert."

-"I don't have a team yet, will it help just me?"
-"Absolutely! Keeping your business and project files organized is an essential life skill that will save you time whenever you are working on your computer. The savings add up. Right now, you're a team of one. This system is 100% scalable whenever and if you want to expand your team locally or remotely. You are ready for growth!"

-"Our filenames are not in English. Does it work in another language?"
-"Yes, of course. Just translate and adapt the folder names to your language."

-"What do I do with my existing files?"
-"Easy! You just drag the files to the correct location in batches. You will experience a massive improvement instantly, and the team will gradually make it even better as they update and work with the files."

"You're claiming this will save me thousands of dollars every year.... Why not charge more?"

The truth is that I'm fed up with files. I don't want to be the "file guy". I'd rather be an expert in another field - and I am. So files do not interest me. Creating value for my clients does.

The reason I made a course on how to implement this solution is to turn my experience and knowledge into something positive for the both of us.

Yes, I'm charging a minimal amount. I set it up as a micro payment, hoping that you will jump at the chance to buy the course, so you can learn a valuable life skill. This micro payment is for the entire course, with the pre-made file structure and everything, so you can solve your file issues immediately. And there are no upsells.

-"No upsells!? Really!?"

Thats right. To be fair, people do question my sanity for 'giving it away' and not having a high ticket service on a back-end, but it's true. There are no upsells.

I genuinely don't want to be the "file guy". That is why you get it all for a minimal one-time payment*.

How I know This File Structure will fit your business

Every business is pretty much the same.

You have only three types of activities in your business.

  1. Processes - Recurring activities that add value to your customer.
  2. Projects - Tasks that are only done one time and have a specific outcome.
  3. Miscellaneous tasks - Random stuff that don't involve any files.

That's it! So all you really need is a file structure that supports processes and projects. No problem!

Furthermore, your business isn't that special. Every business has...

  1. Various documents
  2. Project files you're working on
  3. Marketing, design and stuff
  4. Sales, information customers need etc.
  5. Customers that need support

Some businesses sell products. Others offer services. Some do both. It's not a big deal if you simplify it to the core elements. In reality, managing files is not rocket science. The most difficult part is to keep it simple.

And if you fail and you can't keep it simple, then you got a growing mess on your hands that is stealing away time and energy from creating value to your customers. And in the end costing you and the business a fortune.

Look! I fully understand that ONE PERSON can keep track of the relevant files, but...

The real challenge is when two or more people have to share a file structure and both have to agree where the files should be stored, shared and how they would be named - WITHOUT any friction. It should just feel natural and better way to organizing stuff.

How to work with files as a team is the critical issue that I've solved for you.
